How to Clean a Commercial Office

Maintaining a clean, tidy office environment isn’t just about keeping up appearances – it’s vital for productivity, employee morale, and strong client impressions.

A 2023 study by Tork found a significant link between clean workspaces and employee satisfaction. In fact, up to 86% of office employees regard cleanliness as THE most important aspect of a good work environment.

Keep in mind that we’re not just talking about light vacuuming and wiping off surfaces. To achieve true employee (and client) satisfaction, you need to clean your commercial office space thoroughly and properly.

Not sure how? Here's a step-by-step guide to a full office cleaning.

(1) Assess the Space

The first thing you need to understand is your office’s specific cleaning needs. This ensures that you can properly address areas requiring immediate or specialized attention.

Take note of your office’s high-traffic zones and problem spots, such as entryways, conference rooms, and kitchen areas. These demand more extensive cleaning due to their frequent use and accumulation of dirt and germs.

Additionally, some spaces (like carpeted areas or delicate surfaces) may necessitate unique cleaning equipment or techniques to ensure proper maintenance without causing damage. You’ll need to list these challenging areas and the needed cleaning supplies before getting started.

This assessment phase might not seem all that important, but trust us: it’s the key to setting the stage for a comprehensive, tailored cleaning approach that’s efficient and effective.

(2) Gather Your Supplies

Once you know what your office space needs, it’s time to gather all the necessary supplies.

As you build your shopping list, include basics like…

  • Multipurpose cleaners
  • Disinfectants
  • Microfiber cloths
  • Garbage bags
  • Toilet bowl cleaners
  • All-purpose scrub brushes

Don't forget specialized tools for unique surfaces or areas. Pay attention to things like surface compatibility and safety so that you don’t accidentally damage delicate surfaces like marble and granite.

(3) Declutter and Organize

Next step, get things in order. Clear desks, organize loose items, and tidy up communal areas like the breakroom. Not only will this make things instantly look better, but it will also improve the efficiency of your cleaning.

If you continuously find your office space getting cluttered, try to implement some ongoing policies to prevent things from getting too disorganized. Consider implementing some storage solutions like shelves or cabinets, and encourage your employees to schedule regular tidying sessions.

(4) Dust, Vacuum, & Sanitize

Once you’ve tidied the office space, it’s time to dig deeper.

Vacuum everywhere to remove dirt, dust, and debris from carpets and rugs, preventing allergens and improving air quality. If you find spills or stains, spot-clean them promptly to prevent them from setting and becoming permanent.

If you have non-carpeted spaces in your office, mop them with appropriate cleaners to remove grime and bacteria. Then, focus on dusting and wiping down all surfaces, including desks, tables, shelves, and electronic devices.

Side note: did you know an office desktop can contain about 400 times more germs than a toilet seat? Don’t underestimate how important it is to sanitize seemingly clean surfaces!

It’s not just about making things look “nice.” Dusting, vacuuming, and sanitizing also reduce the risk of workplace illness and create a safe, inviting environment for employees.

(5) Prioritize the Germiest Areas

Some areas in your office are certainly going to be dirtier than others, such as restrooms and break rooms. These spaces require special attention to ensure they’re fully disinfected and spotless.

In restrooms, focus on thoroughly cleaning and sanitizing toilets, sinks, mirrors, and floors. Use disinfectants on surfaces and pay special attention to high-touch areas such as door knobs and buttons.

In break rooms, make sure to clean all of the appliances. Wipe down surfaces with disinfectant wipes, empty and clean refrigerator shelves, clean the microwave, and sanitize countertops. This promotes a clean, safe space for employees to enjoy their meals and decompress.

(6) Empty the Trash & Recycling

Lastly, it’s time to take out the smelly, old garbage. Accumulated waste can lead to unpleasant odors and attract pests – and no one wants to work in a cockroach-infested office environment.

Don’t forget to properly segregate the waste. Separate bins for paper, plastic, glass, and organic waste facilitate effective recycling. Dispose of non-recyclable waste responsibly, following local waste disposal regulations.

Implementing a waste management plan doesn’t just contribute to cleanliness – it also demonstrates environmental responsibility, contributing to a healthier and more sustainable workplace.
